Job Purpose

The Marketing Administration Assistant Manager is responsible for providing administrative support and coordination to the marketing department. This role acts as a key liaison between the marketing team and other departments, ensuring the smooth execution of marketing projects, events, and campaigns. The Assistant Manager oversees a team of administrative staff and helps streamline processes to enhance productivity and efficiency.

Job Description (Accountability)

- Manage the day-to-day administrative operations of the marketing department, including scheduling meetings, maintaining calendars, and coordinating travel arrangements
- Oversee a team of marketing administrative assistants, providing guidance, training, and performance management to ensure high productivity and quality of work
- Serve as the main point of contact for internal and external stakeholders, responding to inquiries, managing information requests, and facilitating communication
- Coordinate the planning and execution of marketing events, conferences, and trade shows, including venue/vendor management, materials preparation, and on-site logistics
- Assist in the development and maintenance of marketing project plans, timelines, and status reports to keep initiatives on track
- Provide administrative support for the creation and distribution of marketing materials, such as brochures, presentations, and social media content
- Collaborate with the finance team to manage marketing budgets, process invoices, and track expenditures
- Identify and recommend process improvements to enhance the efficiency and effectiveness of marketing operations
- Maintain and organize the marketing department's electronic and physical filing systems, ensuring information is readily accessible
- Support the marketing leadership team with special projects and ad-hoc tasks as needed

Education Description

Bachelor Degrees
Diploma

Experience

1-3 years of experience in a marketing or administrative support role

Knowledge

Knowledge of marketing principles and familiarity with marketing workflows and processes

Skills Description

Strong organizational, multitasking, and time management skills
Excellent written and verbal communication abilities, with the ability to interact effectively with various stakeholders
Proficient in using office productivity software (e.g., Microsoft Office suite) and project management tools
Demonstrated experience in event planning and coordination
