Job Description (Accountability)
Time Management, Leave & Absence
- Manage the operation of time recording equipment to ensure readiness for use.
- Manage data for employee photos, fingerprints, and badge numbers in the time recording equipment at work locations.
- Resolve issues when employees are unable to record time at the time recording equipment.
- Create users and grant management rights for the All Time system.
- Manage data groups for users assigned the Role Manager.
- Address issues related to badge recording for employees using a 10-digit badge number.
- Manage the transfer of employee workgroups in the case of promotions or relocations.
- Handle information for employees receiving allowances based on work location for every new hire, work location transfer, and cancellation of payments.
- Notify and set up additional compensation according to workgroups whenever a new position is created and meets the payment criteria.
- Enter time data into the IMM system to calculate allowances based on work location daily.
- Calculate stair-step allowances for businesses that pay according to the regulations of the COE team and all related lines.
- Resolve issues regarding the adjustment of stair-step attendance bonuses if errors by departments cause a drop in attendance bonuses.
- Review documents tracking wage discrepancies and other special payments calculated from the Time system before submission.
- Verify overtime approval and time adjustments to ensure completeness before closing wage calculations.
- Check for irregularities in time sheets and submit them to the manager for resolution:
- Shift must correspond with time recording.
- Irregularities in the employee's check-in/out times.
- Employees working on holidays without prior overtime planning.
- Employees recording more than 8 hours of work per day without overtime planning.
- Employees recording a full day of work but have taken leave.
- Employees recording half a day's work without a leave record.
- Employee status checks must match the workgroup (daily/hourly/monthly).
- Follow up with management to ensure payment approvals are complete.
- Close the accounting period and verify information before sending to Payroll.
- Manage absenteeism for three days and provide information to the manager and HRBP to check employee status.
- Record the return to work for employees coming back from maternity leave and Leave of Absence on Time off.
- Record leave for employees who are absent for more than 30 days on Time off.
- Set the annual holiday calendar, separating workgroups according to business unit announcements, including notifications of changes throughout the year.
- Prepare data for audits related to employee work time records.
Payroll Processing Admin
Manage wages and salaries for Band 4 and Band 5 levels accurately within the specified time frame, in accordance with labor laws and company regulations.
- Record and verify employee benefits in the Success Factor Compensation system:
- Employee bank account numbers.
- Employee regular income benefits.
- Manage payroll tasks according to wage processing in the Smart Pay system:
- Record and verify transactions in each business unit.
- Reconcile all types of income received from the All Time system.
- Calculate daily wages nationwide.
- Review data post-payroll calculation.
- Submit payroll data to the SAP system on schedule.
- Verify payroll information.

Experience
- At least 3 years of experience in a managerial or operational role in human resources.
Knowledge
- Knowledge of HR operational processes
- Strong understanding of company regulations and work policies
- Proficiency in labor laws and other relevant legal frameworks
- Familiarity with HR-eXp systems
- Expertise in All Time systems
- Knowledge of time-recording equipment
- Proficiency in Smart Pay systems
