Job Purpose

Responsible for leading and overseeing the administrative operations of the marketing department. This role involves managing a team of marketing administrative staff, ensuring the efficient coordination of marketing projects and campaigns, and optimizing administrative processes to support the department's strategic objectives. The Marketing Administration Manager serves as a key partner to the marketing leadership team, providing administrative expertise and driving continuous improvement initiatives.

Job Description (Accountability)

- Develop and implement administrative policies, procedures, and best practices to enhance the efficiency and effectiveness of marketing operations
- Manage and oversee a team of marketing administrative assistants, including hiring, training, performance management, and professional development
- Coordinate the planning and execution of marketing events, conferences, and trade shows, managing vendors, budgets, and on-site logistics
- Serve as the primary point of contact for internal and external stakeholders, managing information requests, facilitating communication, and ensuring timely responses
- Collaborate with the marketing leadership team to develop and maintain marketing project plans, timelines, and status reports
- Provide administrative support for the creation and distribution of marketing materials, such as brochures, presentations, and social media content
- Work closely with the finance team to manage marketing budgets, track expenses, process invoices, and ensure compliance with financial policies
- Establish and maintain efficient filing systems, both physical and electronic, to ensure the organized storage and retrieval of marketing-related information
- Identify and implement process improvements and technological solutions to enhance the productivity and efficiency of the marketing department
- Support the marketing leadership team with special projects, strategic initiatives, and other ad-hoc tasks as needed

Competencies

Education

Experience

5-7 years of experience in a marketing or administrative management role, with a strong track record of leading and optimizing administrative operations

Knowledge

Comprehensive understanding of marketing department operations, including project management, event planning, content creation, and campaign execution
Knowledge of marketing workflows, processes, and best practices to ensure efficient and effective administrative support
Familiarity with marketing tools, software, and technologies used to manage projects, content, and customer data
In-depth knowledge of administrative policies, procedures, and best practices to optimize departmental operations
nowledge of budgeting, expense tracking, and invoice processing procedures for the marketing department
Understanding of financial reporting and compliance requirements to ensure accurate and timely financial management

Skills

Excellent organizational, multitasking, and time management skills
Exceptional written and verbal communication abilities, with the capacity to interact effectively with various stakeholders
Proficient in using office productivity software (e.g., Microsoft Office suite), project management tools, and other relevant administrative technologies
Proficiency in project management methodologies and tools to develop and maintain marketing project plans, timelines, and status reports
Demonstrated expertise in event planning, budget management, and process improvement
In-depth understanding of marketing principles, workflows, and best practices
Strong leadership, team management, and employee development skills
